Administrative Assistant (Finance)
MAIN PURPOSE OF THE JOB:
The position exists to give support to the Director Finance and all other functions in the department:

Duties and Responsibilities
Key Responsibilities
1. Calendar Management: Organising and managing the Director's Diary, including scheduling meetings, conferences, appointments, and deadlines related to the Directors Office.
2. Communication Handling: Screening and managing phone calls, emails, and other forms of communication on behalf of the Director, and also ensuring timely responses and information flow.
Documentation & Filing: Maintaining and organizing important documents, records, and files related to the Director's Office.
4. Meeting Coordination: Scheduling and coordinating all meeting on the Director's calendar through preparing for the meetings, communicating agendas, taking minutes, and following up on action items.
5. Expense Management: Managing expenses related to the Director's office, such as processing invoices, tracking budgets, and ensuring compliance with financial policies and procedure.
6. Travel Arrangements: Making travel arrangements for the Director through booking flights, accommodations, and transportation for business trips.
7. Confidentiality: Maintaining the confidentiality of all information and documents in the Directors Office.
8. Cross-functional Collaboration: Collaborating with other departments to ensure alignment and coordination of finance related issues.
9. Any other duties as assigned by the Director.


Qualifications and Experience
Qualifications
1. 5 O' Levels including English and Maths/Accounts
2. 2 A 'Levels or Equivalent.
3. Diploma in Secretarial Studies.
4. Degree in Accounting/Finance or any related field is an added advantage.
5. At least 2 years related experience in a similar environment.
